ChartEase generates draft documentation only. It is not clinical decision support software, not a medical device, and does not provide medical advice, diagnosis, or treatment recommendations.

All drafts generated by ChartEase must be reviewed, edited, and approved by the responsible staff member before being used in any care record, handoff, or communication. The staff member remains solely responsible for the accuracy, completeness, and policy compliance of all final documentation.

ChartEase does not assess resident conditions, suggest interventions, or replace the clinical judgment of qualified healthcare professionals. Always follow your facility's documentation policies and applicable regulations.

By using ChartEase, every staff member agrees to the following review responsibilities:

• Verify facts: Confirm that all information in the draft matches your personal observations and knowledge of the resident.
• Remove assumptions: Delete any wording that suggests diagnoses, causation, or conclusions you did not directly observe.
• Avoid prohibited language: Do not include resident names, full birthdates, health card numbers, or detailed medical histories unless your facility's privacy and compliance controls explicitly permit it.
• Match workplace policy: Ensure the final note aligns with your facility's documentation standards, terminology, and required fields.
• Personal accountability: You are personally responsible for any note that carries your name, initials, or electronic signature. The AI draft is a starting point — you are the author of the final documentation.

ChartEase templates, generated drafts, and prompt libraries are protected intellectual property. Access is granted through paid subscription only.

• Subscription gating: Full note generation, complete templates, Pro workflows, saved drafts, and the template library require an active paid subscription.
• Blurred previews: Public and non-paying visitors see only limited, blurred, or excerpted previews of generated content.
• Watermarking: Exported and saved drafts include user attribution watermarks to trace misuse.
• No redistribution: Subscribers may not share, sell, republish, or redistribute ChartEase templates, prompt structures, or generated note content outside their immediate workplace use.
• Account sharing: Subscription accounts are for individual use only. Team or facility-wide licensing must be arranged through a separate enterprise agreement.

ChartEase processes the text you enter to generate documentation drafts. We do not store resident-identifiable information unless you explicitly save a draft to your account.

• Data minimization: We encourage users to enter only point-form observations without full names or sensitive health identifiers.
• Encryption: Saved drafts and account data are encrypted in transit (TLS) and at rest.
• No model training: Your inputs and drafts are not used to train third-party AI models.
• Retention: You may delete saved drafts and account data at any time from your dashboard.

You may cancel your ChartEase subscription at any time from your account dashboard. Cancellation takes effect at the end of the current billing period.

• Monthly plans: No long-term commitment. Cancel before your next billing date to avoid renewal charges.
• Yearly plans: If you cancel within 14 days of purchase and have not generated more than 5 full drafts, you may request a prorated refund of the unused months.
• No refunds for abuse: Refunds are not issued for accounts that violate the content protection policy or share login credentials.
